Booking turns on with the AI receptionist. We connect Acuity Scheduling now; until that is switched on for your line, the receptionist takes a message instead.
Setup steps
- Choose Connect. A short guided-setup form opens, and our team takes it from there.
- Tell us which appointment types and calendars the AI may book.
- On a short call, the Acuity account owner signs in to approve the connection.
- We test a booking, a move and a cancel with you, then turn writes on.
- We confirm on your Integration setup ticket when callers can use it.
Permissions we ask for, and why
- Read appointment types, calendars and availability: So the AI offers only times Acuity shows as open.
- Read clients: So the AI recognises a returning client by the number they call from.
- Create, reschedule and cancel appointments: So the AI can book, move or cancel the appointment the caller confirmed, and only their own.
What the AI receptionist will do
- Will check open times for the appointment types you allow.
- Will read the time back and book, move or cancel only after the caller says yes.
- Will move or cancel only an appointment that belongs to the caller's number.
- Will greet a returning client by first name when one client matches the number.
What it can't do, and limits
- Guided setup: our team connects it with you and tests it on your account before callers rely on it.
- Acuity only opens its API on its higher plans. We check your plan before setup.
- Paid appointment types that need payment at booking are left out; the AI takes a message for those.
- Intake form questions are not asked on the phone unless you tell us which ones matter.
The AI says something is booked or ordered only when Acuity Scheduling confirms it. If Acuity Scheduling doesn't answer in time, the AI takes a message instead and tells the caller someone will follow up.
Troubleshooting
Which Acuity plan do I need?
One that includes API access. Acuity lists it on its higher plans; we check yours before setup.
Does Acuity still send its emails?
Yes. Bookings made through the connection get your normal Acuity confirmations.
Disconnecting, and the data we keep
An owner or admin can disconnect at any time from Phone, then Connectors, in the app. Disconnecting stops TimberSwitch using Acuity Scheduling straight away.
- Your Acuity account id and the appointment types you chose.
- A log of each booking, move or cancellation: time, Acuity appointment id and a masked caller number.
- Client details are used during the call and not stored by TimberSwitch.
Still stuck?
Get help: it opens an Integration support ticket. Include the time of the call and what you expected to happen.
