Connect Get help

Guided setup. Our team connects it with you, usually within 1-2 business days. Connect opens a short form: what you want it to do, the best time to reach you, and who your Calendly admin is. We schedule the setup with you, test it on your account, and then turn it on for callers.

Booking turns on with the AI receptionist. We connect Calendly now; until that is switched on for your line, the receptionist takes a message instead.

Setup steps

  1. Choose Connect. A short guided-setup form opens, and our team takes it from there with what we need.
  2. Tell us which Calendly event type the AI may book, and the hours it may offer.
  3. On a short call, someone with your Calendly login signs in to approve the connection. We never see the password.
  4. We make a test booking with you, then turn on booking. Checking open times is on from the start.
  5. We confirm on your Integration setup ticket when callers can use it.

Permissions we ask for, and why

  • Read event types and open times: So the AI offers only times your Calendly event type really has open.
  • Create and cancel bookings: So the AI books the time the caller confirmed, and cancels only a booking made with the caller's own number or email.

What the AI receptionist will do

  • Will read open times for the event type you choose and offer two or three.
  • Will collect the caller's name and email, read the time back and book only after the caller says yes.
  • Will cancel only a booking that matches the caller's number or email, after confirming which one.
  • Will take a message instead whenever Calendly does not confirm the booking.

What it can't do, and limits

  • Guided setup: our team connects it with you and tests it on your account before callers rely on it.
  • Calendly only allows booking through its API on paid Calendly plans. Free plans can't be connected.
  • Calendly needs an email address for every booking, so the AI asks for one and spells it back.
  • Moving a booking is done as cancel and rebook, because Calendly's API has no reschedule call.
  • Questions on your Calendly booking form beyond name and email are left blank unless you tell us how to fill them.

The AI says something is booked or ordered only when Calendly confirms it. If Calendly doesn't answer in time, the AI takes a message instead and tells the caller someone will follow up.

Troubleshooting

Do I need a paid Calendly plan?

Yes. Calendly only allows bookings through its API on paid plans.

Will Calendly send its normal emails?

Yes. Calendly treats an API booking like one made on your booking page, so your confirmations and workflows run.

Can the AI move a booking?

It cancels the old time and books the new one, after the caller confirms both.

Disconnecting, and the data we keep

An owner or admin can disconnect at any time from Phone, then Connectors, in the app. Disconnecting stops TimberSwitch using Calendly straight away.

  • Your Calendly user and the event type you chose.
  • A log of each booking or cancellation: time, Calendly event id and a masked caller number.
  • Disconnecting removes our access token straight away.

Still stuck?

Get help: it opens an Integration support ticket. Include the time of the call and what you expected to happen.
