Saving messages to Jobber turns on with the AI receptionist. We connect Jobber now; until that is switched on for your line, the receptionist takes a message instead.
Setup steps
- Choose Connect on this page or in the app. If it shows Guided setup, Connect opens a short form and our team connects it with you.
- We send you a link. Sign in to Jobber as the account owner or an admin and choose Allow Access. Jobber shows exactly what TimberSwitch can read and change.
- In TimberSwitch, open Connectors and check Jobber shows as connected. Recognising returning callers is on straight away.
- Turn on Create leads or requests and Save messages in your system when you're ready for the AI to write into Jobber.
- Call your TimberSwitch number from a phone saved on a test client, ask for a visit, and check the request and its note appear in Jobber under Requests.
Permissions we ask for, and why
- Read clients: So the AI recognises a returning customer by the number they call from, and so a new request is filed under the client you already have instead of a duplicate.
- Write clients: So a first-time caller becomes a Jobber client with their name, number and email, and so a message for an existing client lands as a note on that client.
- Read requests: So a retried request is recognised and never filed twice.
- Write requests: So "can you come out today?" becomes a real request in Jobber, with the call summary attached as a note.
What the AI receptionist will do
- Looks up the caller in Jobber by the number they call from and greets a known customer by first name.
- Collects what the job is, the service address and the best callback number, and reads them back.
- Creates a Jobber request titled with the job, under the existing client or a new one, and attaches the full call summary as a note on the request.
- For a plain message from a known customer, adds it as a note on their Jobber client.
- Always saves the call and message in your TimberSwitch inbox too, whether or not Jobber accepted it.
What it can't do, and limits
- Built from Jobber's documentation. Your account is among the first connected, so we check the first requests with you.
- Creates requests, not scheduled visits or assessments. Jobber's API has no way to ask which times your crews actually have free, so the AI never promises a time. Your team still schedules the job.
- The service address goes into the request note as text. It is not added as a Jobber property, so attach the property in Jobber when you convert the request.
- Each request title ends with a short reference such as [TS-1a2b3c4d]. It ties the request to the call in TimberSwitch and stops a retry from filing it twice.
- Messages from numbers that don't match a Jobber client stay in your TimberSwitch inbox; we don't create clients from plain messages.
- Caller matching uses the phone numbers saved on the Jobber client. A customer calling from a number that isn't on their client is treated as new.
- The AI shares only a first name with a caller, never invoices, quotes, balances or job history.
- Clients created by TimberSwitch show our app as their lead source in Jobber, and Jobber doesn't let anyone edit that.
- While our Jobber app is waiting for Jobber's marketplace review, Jobber caps how many businesses it can connect, so setup slots are limited.
- Jobber limits how fast any app can call it. If Jobber asks us to slow down mid-call, the AI tells the caller the team will follow up, and the full message stays in your TimberSwitch inbox.
The AI says something is booked or ordered only when Jobber confirms it. If Jobber doesn't answer in time, the AI takes a message instead and tells the caller someone will follow up.
Troubleshooting
Requests aren't showing up in Jobber.
Check Create leads or requests is turned on in Connectors and the connection shows as working. If it says Reconnect, Jobber was disconnected or the sign-in expired: connect again. Every call is still in your TimberSwitch inbox.
It didn't recognise a regular customer.
Lookup matches the number they called from against the phone numbers on the Jobber client. Add that number to the client in Jobber and it will work on the next call.
Why does the request title end with a code like [TS-1a2b3c4d]?
It links the Jobber request to the call in TimberSwitch and stops a retry from creating a duplicate. You can edit the title in Jobber; it won't affect anything already filed.
A new client was created for someone we already had.
They called from a number that isn't on their existing client. Merge the two in Jobber and add the number to the client you keep.
The connection says Reconnect.
Jobber stopped accepting our sign-in. This happens if someone disconnected TimberSwitch in Jobber's App Marketplace, the Jobber account was paused, or the admin who connected it was deactivated. Connect again as an admin.
Disconnecting, and the data we keep
An owner or admin can disconnect at any time from Phone, then Connectors, in the app. Disconnecting stops TimberSwitch using Jobber straight away.
- An encrypted Jobber access token and refresh token. Jobber access tokens last an hour and we refresh them before they expire.
- A log of each request or note the AI created, with the Jobber reference and a masked caller number.
- We don't copy your Jobber client list. Each lookup asks Jobber at the time of the call.
- Disconnecting deletes the tokens straight away.
