Booking turns on with the AI receptionist. We connect NexHealth (Dentrix, Eaglesoft and more) now; until that is switched on for your line, the receptionist takes a message instead.
Setup steps
- Choose Connect on this page or in the app. This opens a request; we confirm the HIPAA business associate agreement with you first.
- If your practice isn't on NexHealth yet, we arrange it with NexHealth, which installs its synchronizer for your practice software.
- We link your practice to TimberSwitch using the institution subdomain and location NexHealth gives us.
- Tell us the providers, operatories, visit type and length the AI may book.
- Checking open times and recognising patients are on by default. Turn on booking, moving and cancelling in the app when you're ready.
Permissions we ask for, and why
- Read available slots: So the AI offers real open times for the providers and operatories you choose.
- Search patients by phone number: So the AI recognises a returning patient by the number they call from. We keep only the first name for the call.
- Create, move and cancel appointments: So the AI can book the time the caller confirmed, and move or cancel only an appointment that belongs to a patient on the caller's number.
What the AI receptionist will do
- Checks real-time availability in your practice software through NexHealth.
- Reads the time back and books, moves or cancels only after the patient says yes.
- Moves or cancels only an appointment that belongs to a patient on the number calling.
- Greets a returning patient by first name when one patient matches the number. It never discusses treatment, balances or records.
What it can't do, and limits
- Guided setup: our team connects it with you, and only once your office and TimberSwitch have signed a HIPAA business associate agreement. The connector stays switched off without one. We don't sign BAAs yet.
- NexHealth charges per API call. A booking takes about three to five calls, roughly 30 to 50 cents, so this is a paid add-on.
- Your practice must be set up with NexHealth (their synchronizer installed for your practice software). Which systems work, and whether cancelling works, depends on NexHealth's current support for yours.
- Only patients already on file, matched by the number they call from, can be booked. New patients get a message and a callback.
- Bookings go through NexHealth's sync, so a change can take a short while to show in your practice software.
- It never answers treatment, insurance or balance questions.
The AI says something is booked or ordered only when NexHealth (Dentrix, Eaglesoft and more) confirms it. If NexHealth (Dentrix, Eaglesoft and more) doesn't answer in time, the AI takes a message instead and tells the caller someone will follow up.
Troubleshooting
Which practice software works?
NexHealth supports Dentrix, Dentrix Ascend and Enterprise, Eaglesoft, Open Dental, Curve Hero and more. Ask us about yours.
A booking isn't in my practice software yet.
NexHealth syncs changes to your practice software; give it a few minutes. If it still isn't there, check the NexHealth synchronizer is running.
The connector shows Reconnect needed.
NexHealth refused our access for your practice. Contact us and we'll check the practice link with NexHealth.
Is this HIPAA compliant?
We only switch this connector on once a signed business associate agreement is on file. We don't sign BAAs yet.
Disconnecting, and the data we keep
An owner or admin can disconnect at any time from Phone, then Connectors, in the app. Disconnecting stops TimberSwitch using NexHealth (Dentrix, Eaglesoft and more) straight away.
- Your NexHealth practice subdomain, location and the providers you chose.
- A log of each booking, move or cancellation: time, the NexHealth appointment id and a masked caller number. No names, birthdates or notes.
- Patient details from NexHealth are used during the call and not stored by TimberSwitch.
- Disconnecting removes the practice link straight away.
Still stuck?
Get help: it opens an Integration support ticket. Include the time of the call and what you expected to happen.
