Booking turns on with the AI receptionist. We connect Vagaro now; until that is switched on for your line, the receptionist takes a message instead.
Setup steps
- Choose Connect. A short guided-setup form opens, and our team takes it from there.
- In Vagaro, go to Settings, Developers, APIs and Webhooks and request API access. Vagaro replies in about five business days.
- Tell us the services and staff the AI may book.
- We test with you, then turn on booking and confirm on your ticket.
Permissions we ask for, and why
- Read services, staff and availability: So the AI offers real open times for the services and stylists you choose.
- Read customers: So the AI recognises a returning client by phone number.
- Create, move and cancel appointments: So the AI books, moves or cancels only the client's own appointment after they confirm.
What the AI receptionist will do
- Will offer open times for the service and stylist the caller asks for.
- Will read the booking back and book only after the caller says yes.
- Will move or cancel only the caller's own appointment.
What it can't do, and limits
- Guided setup: our team connects it with you and tests it on your account before callers rely on it.
- Vagaro turns on API access when you ask from your Vagaro settings; it takes about five business days. Vagaro may require a paid plan and Vagaro payments.
- Deposits and card holds are not taken on the phone.
The AI says something is booked or ordered only when Vagaro confirms it. If Vagaro doesn't answer in time, the AI takes a message instead and tells the caller someone will follow up.
Troubleshooting
How long does Vagaro take?
Vagaro says about five business days after you request access.
Does it work for multiple locations?
Yes. Tell us which locations the AI may book for.
Disconnecting, and the data we keep
An owner or admin can disconnect at any time from Phone, then Connectors, in the app. Disconnecting stops TimberSwitch using Vagaro straight away.
- Your Vagaro business id and the services you chose.
- A log of each booking change: time, Vagaro id and a masked caller number.
- Client details are used during the call and not stored by TimberSwitch.
Still stuck?
Get help: it opens an Integration support ticket. Include the time of the call and what you expected to happen.
